Variable Data Labels

Variable Data Labels: Every product in your range needs unique information – serial numbers, batch codes, expiration dates, or barcodes that change from item to item. Variable data labels solve this challenge, putting different data on each label while maintaining consistent branding and quality.

Positive ID Labels offers two approaches. We can print your labels ready to use, with sequential numbering and barcodes in place. Alternatively, we can set you up with a thermal printer and blank labels for on-demand production. The right choice depends on your volumes and workflow – we’ll help you decide.

What Are Variable Data Labels?

Variable data labels contain information that changes from one label to the next. Unlike static labels where every print is identical, variable data printing pulls unique information from a database or sequence to create individual unique labels.

Common variable elements include:

  • Serial numbers that increment with each label
  • Barcodes carrying unique product identifiers
  • QR codes linking to batch-specific information
  • Date stamps for production or expiration dates
  • Batch and lot numbers for traceability
  • Personalised text for promotional campaigns

This approach suits any situation where each product, package, or asset needs its own identifier. From tracking pharmaceutical batches to numbering competition entries, variable data labels provide the flexibility that fixed-print labels simply cannot match.

We’ve had a great experience working with this supplier, especially with Natalie - she is always very responsive, professional, and friendly. The pricing is highly competitive and the sales service has been excellent from start to finish. If I could offer one suggestion, it would be to improve the account and invoice management process. It would be really helpful if there were a system for clients to easily track their past orders and invoices in one place.Overall, very pleased with the service and look forward to continuing our collaboration.

When Variable Data Labels Make Sense

  • Stock Control and Inventory Management – Warehouses and distribution centres rely on variable data labels to track items through the supply chain. Each label carries a unique barcode or reference number, enabling accurate picking, packing, and stock reconciliation.
  • Manufacturing Traceability – Quality control demands complete traceability. Variable data labels track components and finished products back to specific batches, machines, or operators. If a problem surfaces, you can identify exactly which items are affected from the label identification or barcode labels.
  • Asset Identification – IT equipment, tools, machinery, and vehicles all benefit from unique identification labels. Sequential asset numbers make audits straightforward and help prevent loss or theft. Combined with barcodes or QR codes, asset labels enable rapid identification using handheld scanners.
  • Food and Pharmaceutical Compliance – Regulatory requirements in food and pharmaceutical sectors demand batch-level traceability. Variable data labels provide the date codes, batch numbers, and unique identifiers that compliance audits require.
  • Variable Data Labels for Regulatory Traceability – When regulators ask questions, properly labelled products have answers.
  • Promotional Campaigns – Competitions, loyalty programmes, and limited editions often need unique codes on each item. Variable data printing handles this efficiently at any scale.

Two Routes to Variable Data Labels

Option One: We Print For You

For larger runs or one-off projects, we print your labels complete with all sequential information, barcodes, and unique codes. You receive finished labels ready to apply.

Our digital presses handle variable data efficiently. The Xeikon delivers 1200dpi resolution for premium applications and can print variable data in any colour you choose, while our Screen press handles high volumes at 600dpi with impressive speed but in black. Both maintain barcode accuracy that scanners read reliably.

This approach suits businesses that need larger quantities periodically rather than daily production.

We have years of experience and have in developed our own in-house software to ensure fast and accurate pre-press operation.

Option Two: Print Your Own

If you’re producing labels regularly – daily dispatch labels, date coding, or on-demand product identification – printing in-house often makes better operational and financial sense.

We supply thermal printers from TSC, along with compatible blank or pre-printed labels along with ribbons if necessary for your needs. Once configured, you print exactly what you need, when you need it, pulling data directly from your stock system or database.

The setup includes labelling software that connects to your data sources. Print individual labels or entire batches with a few clicks. No waiting for deliveries, no minimum orders, and complete control over timing.

You get professionally printed labels without investing in equipment or managing consumables.

Which Approach Suits You?

The decision depends on several factors:

  • Volume and frequency – Occasional large runs suit our printed solution. Daily or weekly printing favours in-house setup.
  • Lead time requirements – If you need labels immediately when orders come in, in-house printing delivers.
  • Data complexity – Simple sequential numbers work either way. Integration with ERP or warehouse systems points toward in-house.
  • Budget considerations – Pre-printed labels have no capital outlay. In-house systems need initial investment but reduce per-label costs for regular users.

We’ll talk through your situation and recommend the approach that delivers best value. Sometimes a combination works – pre-printed branded labels with space for in-house overprinting of variable elements.

Label Materials and Durability

Whatever your printing method, we match materials to your application:

  • Paper labels suit general identification and indoor use. Cost-effective for high volumes. Supplied as direct thermal or thermal transfer
  • Polypropylene labels resist moisture and light abrasion. Popular for food packaging and refrigerated products. Available as both direct thermal and thermal transfer using resin ribbons
  • Polyester labels handle chemicals, outdoor exposure, and industrial environments. The choice for durable asset identification.
  • Thermal materials optimised for direct thermal or thermal transfer printing ensure excellent barcode readability.

Frequently Asked Questions

What information can vary on each label?

Almost anything: text, numbers, barcodes, QR codes, and images. The data comes from your spreadsheet, database, or generated sequences. Get in touch if you have specific needs you want to investigate and we will provide you with the advice you need to fulfil your project.

Do you supply the printers as well as labels?

Yes. We’re authorised dealers for thermal transfer printers from Toshiba Tec, TSC, and other brands. We supply printers, labels, ribbons, and labelling software including Label Direct, EnLabel and Bartender as a complete solution with installation and training.

What’s the minimum order for pre-printed labels?

It depends on complexity, but we handle runs from a few hundred labels upward. For very small quantities, in-house printing typically offers better value.

Can variable data labels include colour?

Our Screen press only prints variable data in black. The Xeikon can produce variable data in full colour. Our digitally printed labels include full colour along with the variable data so you can have a complex label with a small amount of variable data “overprinted”. Thermal printing produces black on your chosen label colour, though colour ribbons are available. Call us to discuss you requirements and we will propose solutions for your needs.

How do I get my data onto the labels?

For pre-printed labels, supply data as Excel or CSV – or instruct us on your requirements and we can prepare the data for you. For in-house printing, software connects directly to databases or manual entry screens.

Will barcodes scan reliably?

Yes. Proper setup ensures consistent scan rates. We verify barcode quality and configure printers to maintain readability standards.

Ready to Discuss Your Labelling Needs?

Whether you need a one-off run of serialised labels or a complete in-house printing setup, we’ll find the solution that fits. Our Derby-based team understands both printing and operations – we’re solving identification challenges, not just selling labels.

Call 01332 864895 to talk through your requirements, or complete the enquiry form. We’ll ask the right questions and propose the approach that delivers quality, efficiency, and value.
